Privacy Policy introduction

This privacy policy sets out how Matthew Radley & Associates Limited (company registration number 7608964) uses and protects any information that you provide when using our website or contracting with us to provide coaching services. As a business we are committed to ensuring the privacy of the people who engage with us, and therefore any information we ask you to share with us will be strictly dealt with in line with this Privacy Policy and UK Data Protection requirements.

Matthew Radley & Associates Limited is also registered with the Information Commissioner’s Office (ICO) under reference ZA214422.

Collecting data and information

As you engage with us, and we engage with you, we need to collect certain information to help us work effectively together and to deliver our services in accordance with our coaching programmes. We collect information in a variety of ways including via the ‘Talk to us’ and ‘Newsletter subscription’ pages on our website, emails, phone calls, verbally or Linkedin requests.

The types of information we initially collect may include the following:

As we progress in our professional relationship we go on to request further information to enable a smooth business operation. This includes information to support with engaging with clients within your organisation (such as names, email addresses job titles, phone numbers, Skype addresses), as well as contact information for the Finance Department to arrange Vendor Numbers, Purchase Order Numbers, etc.

When sharing information with us on behalf of people from within your organisation, it is your responsibility to ensure that you have complied with data regulations before doing so. We accept no liability for making contact with people inside your organisation that you have requested us to.

When working with individuals or teams we will go on to request further information to support with the delivery of our coaching programmes. This includes information such as your personal and professional goals/ambitions; team goals; business goals; strategic ambitions.

When working with individuals it is likely that sensitive and confidential information will be shared with your Coach. We commit to holding this information with the strictest of confidence and our ‘Coaching Contract’, which we will counter-sign with you, lays out our agreement clearly. If you have not been asked to sign a ‘Coaching Contract’ with us please contact your Coach for further information requesting the opportunity to do so immediately.

At the end of a Coaching Programme we might ask for a quote from you to be used alongside your name, title and company for our website or other promotional material. Please let us know if you do not wish your quote to be used.

Collecting data for use with Psychometric Assessment tools

Also, when using Psychometric Assessment tools such as MBTI and EQi-360 within our Coaching Programmes we require specific information to enable you and others to complete the assessments. This includes your name and email address. EQi-360 also requires contact detail for the people you would like feedback from, including their names, email addresses and relationship to you (e.g. Peer, Manager), and this process is clearly documented later in this Privacy Policy in line with GDPR (see appendixes). Statements from OPP (MBTI provider) and MHS (EQi-360 provider) are available from us on request.

The results of any Psychometric Assessment you complete through us will always remain your property and we will never share your responses/results with anyone else outside of our organisation without your permission to do so. We may on occasion share them internally between ourselves when co-designing or co-delivering Coaching Programmes.

Cookie policy

Cookies are used to help us compile anonymous statistics (including Google Analytics) in order to improve and manage our site. An example of the information collected would be the path you used to gain access to the site and your patterns of browsing when navigating the site. They are ‘persistent’ meaning they are not deleted when the browser is closed and expire after a period of 2 years unless you visit the same site within the 2 year period in which case the same cookie is refreshed and a new 2 year period begins.

The information these cookies collect is not used to identify who you are, send you targeted advertising or remember where you’ve been on the internet.

To delete or stop cookies being placed on your computer refer to the help menu on your internet browser. In a few cases blocking cookies may reduce the functionality of some sites or prevent access to them depending on your chosen browser options. On occasion we might choose to reference other websites on our site. Once you leave our site you should note that we do not have any control over the privacy and protection afforded by them. Sharing information with our Associate Coaches

At Matthew Radley & Associates Limited we use Associate Coaches to deliver our Coaching Programmes. Associate Coaches are provided with contact details of prospective clients to enable them to make contact directly.

Associate Coaches are individually responsible for complying with this Privacy Policy and for maintaining appropriate standards in how the collect, use and store data/information in line with GDPR.

In the unfortunate case of a data breach we will make contact with you and your organisation to make you aware of the situation. We will look to rectify the situation as quickly as possible, and also direct you to the Information Commissioner’s Office for further details or to make a complaint.

Keeping control of the information you share with us

Your information is your information. Full stop. Therefore if at any time you wish to access the information we may hold about you please contact us immediately and we will respond to your request within 30 days. We reserve the right to update or modify this Privacy Policy as required. Please ensure you remain happy with, and accept agreement of, this Privacy Policy by regularly checking for any amends we make.

Appendix:

Use of information for MBTI profiling

At Matthew Radley & Associates Limited we often use MBTI profiling (along with other profiling tools) as part of our Coaching Programmes. As an example, MBTI requires us to collect your name, email address and gender in order to provide you with an online questionnaire to complete. By clicking on the link to OPP’s website you are accepting responsibility for reading the OPP Privacy Policy and accepting it’s terms and conditions.

Once you have completed the link, OPP will advise us and we will then generate a report for you which will only be shared with yourself (unless you specifically ask us to share it with another person or organisation).

Use of information for EQi-360 assessment

At Matthew Radley & Associates Limited we often use EQi-360 as part of our Coaching Programmes. By agreeing to undertake the EQi-360 assessment you are agreeing to the conditions explained below and take responsibility for completing them in full.

This tool requires us to collect your name and email address in order to provide you with an online questionnaire to complete. By clicking on the link to MHS’s website you are accepting responsibility for reading the MHS Privacy Policy and accepting it’s terms and conditions.

To undertake the EQi-360 you are required to provide us with a spreadsheet containing the names, email addresses and relationships to you (e.g. Peer, Manager). To do this in line with GDPR you are first required to ask the people you would like feedback from for their permission to share their details with us and MHS. Details supplied will not be used for any other purposes such as direct marketing. By sharing these details with us you are confirming that you have gained explicit permission from everyone involved, and you accept responsibility for this.

Once you have completed the link, MHS will advise us and we will then generate a report for you that will only be shared with yourself (unless you specifically ask us to share it with another person or organisation).
